QuickBooks Online Integration

Prairie Ventures may offer an optional connection between the Prairie Ventures platform and QuickBooks Online ("QuickBooks") for selected organizations, legal entities, investments, properties, customers, vendors, and accounting workflows. A QuickBooks connection is not required for every Prairie Ventures user, investment, Deal, customer, vendor, or legal entity, and connecting one QuickBooks company does not authorize access to any other QuickBooks company or Prairie scope.

Optional and Scoped Connections

QuickBooks integrations are established only for an authorized accounting scope. Depending on the applicable organization and workflow, the connection may be limited by legal entity, investment or Deal, book role, QuickBooks company, Class or Location, reporting period, customer, vendor, or other configured accounting context.

  • Some Prairie Ventures organizations and investments may use QuickBooks integrations while others do not.
  • A customer or vendor may participate in a Prairie workflow without being represented in QuickBooks.
  • Connecting one QuickBooks company does not make QuickBooks the source of investor ownership, subscriptions, capital calls, distribution entitlements, or other Prairie-owned records.
  • Access is controlled by Prairie authorization and by the QuickBooks administrator who authorizes the connection.

Information We May Access from QuickBooks

For an authorized connected scope, Prairie may retrieve only the QuickBooks information needed for enabled accounting and reporting features. Depending on the enabled feature set, this may include:

  • QuickBooks company information and accounting preferences;
  • chart-of-accounts and other reference data such as Classes and Locations;
  • financial reports, including profit and loss, balance sheet, trial balance, cash flow, aging, and transaction-detail information;
  • customers, vendors, items, invoices, bills, deposits, journal entries, payments, balances, and related transaction status when required for an enabled workflow;
  • QuickBooks object identifiers, synchronization tokens, and change notifications used to keep connected data current and safely reconcile Prairie actions with QuickBooks.

How QuickBooks Information Is Used

Prairie uses QuickBooks information to support the specific connected accounting workflows that an authorized user enables. Uses may include:

  • displaying and reviewing accounting information for the correct legal entity, Deal, or management scope;
  • producing Prairie management and investor reporting derived from approved QuickBooks accounting information;
  • reviewing receivables, payables, liability activity, and other accounting details;
  • maintaining mappings between Prairie business context and QuickBooks accounts, Classes, Locations, customers, vendors, or other references;
  • detecting changes, exceptions, or differences that require accounting review;
  • supporting governed accounting actions described below when the applicable feature is enabled and authorized.

Accounting Actions Prairie May Send to QuickBooks

QuickBooks remains the accounting system of record for QuickBooks ledger transactions. Prairie does not operate a competing general ledger or official bank-reconciliation system. Where an authorized accounting workflow is enabled, Prairie may prepare, approve, and send specific accounting actions to the connected QuickBooks company. Depending on the enabled scope, these actions may include:

  • customer invoices and related customer-accounting information;
  • vendor bills and supporting document attachments;
  • capital-contribution deposits;
  • separate journal entries used for an approved accounting correction or reversal;
  • other narrowly configured QuickBooks actions only after the corresponding Prairie feature, authorization, and accounting controls are enabled.

Prairie applies organization permissions, configured routes and mappings, feature controls, approval requirements, idempotency protections, and audit logging before a supported write is sent. Availability of a capability in the software does not mean it is enabled for every organization, Deal, customer, vendor, or connected QuickBooks company.

Bank Information and Reconciliation

QuickBooks remains the system of record for official bank feeds, transaction categorization, and bank reconciliation. Prairie may retain supporting evidence for a specific Deal receipt or payment and may verify that evidence for an approved accounting workflow, but Prairie does not represent that a bank account or transaction is officially reconciled unless that status is obtained from QuickBooks.

Investor and Ownership Information

Prairie Ventures remains the source of truth for Prairie investor identity, subscriptions, ownership, capital-call obligations, and distribution calculations. QuickBooks accounting records do not determine investor ownership or replace the Prairie ownership ledger.

Storage, Security, and Audit Information

Prairie may retain QuickBooks-derived data and integration evidence needed to operate the connected service, provide reporting, investigate exceptions, demonstrate approvals, and meet legal, accounting, security, or recordkeeping requirements. QuickBooks OAuth credentials are handled as confidential authentication information and are not displayed to ordinary portal users.

We use administrative and technical safeguards appropriate to the sensitivity of connected financial information, including encrypted communications, access controls, protected credential storage, environment separation, audit logging, and security monitoring. Connecting and Disconnecting QuickBooks

An authorized user may connect an eligible QuickBooks company through the Intuit authorization process. Prairie confirms the connected company before using it for an accounting workflow and maintains the connection within the authorized Prairie organization and legal-entity context.

An authorized user may disconnect QuickBooks through the Prairie accounting connection controls or through Intuit where applicable. Disconnecting stops future QuickBooks access and automated QuickBooks activity for that connection. Prairie may retain records that are required for security, audit, accounting, legal, contractual, backup, dispute-resolution, or regulatory purposes, and may retain non-editable historical evidence of actions that occurred while the connection was active. Data that is not required to be retained is handled in accordance with our Privacy Policy and applicable retention practices.

A fully disconnected connection is not re-authorized in place. An authorized user establishes a new connection through guided setup, which confirms the QuickBooks company again before reads resume. See QuickBooks disconnected for what a disconnected connection means and how access is restored.

Third-Party Service

QuickBooks Online is provided by Intuit Inc. Your use of QuickBooks and the Intuit authorization process is also subject to Intuit's applicable terms and privacy practices. Prairie Ventures is not Intuit and does not control the availability or operation of QuickBooks.
